Office Manager
A leading international financial advisory firm, with nearly 50 years of experience, is urgently seeking an Office Manager to join their Malta office. This is a fantastic opportunity to be part of a global and diverse company that prioritizes its people.
As the Office Manager, you will be the first point of contact, warmly welcoming high-net-worth clients and colleagues from around the world. You will also oversee the smooth running of administrative tasks and office procedures within the Malta office, providing support to teams in IT, Corporate Services, Finance, HR, and Facilities.
The role is office-based (remote work is not an option), and the salary will be determined based on experience.
Role & Responsibilities
- Greet clients and international colleagues, ensuring a warm welcome
- Take full responsibility for office management duties including maintenance, ordering of supplies and equipment, ensuring the premises are presentable at all times
- Organize client visits, including meeting room bookings, taxis and hotel bookings, catering, etc.
- Manage "Petty Cash", the Office Budget, and assist with general basic bookkeeping duties
- Ensure the timely payment of office expenses
- Liaise with the relevant persons to ensure payroll is executed in a timely manner
- Partner with HR for the onboarding of new joiners
- Manage relationships with Maltese authorities such as JobsPlus, DIER, and the VAT department
- Coordinate with IT for office equipment and provide first-level support
- Plan in-house and off-site activities
- Support the Corporate Services Team
- Manage archiving and filing
Skills & Experience
- Excellent communication skills in English, both written and spoken
- Fluency in Maltese would be advantageous
- Previous experience managing an office in a law firm, insurance company, or other professional services
- Highly organized with strong task prioritization skills
- Experience of working within a similar role in Malta
- Experience of dealing with Maltese authorities
- Proactive and able to work independently
- Capable of multitasking and thriving in a fast-paced office environment
