Office Manager
Help a new company set up their office and create an exceptional workplace! The Office Manager will fall under the HR function and will in reality be Office Manager & Workplace wellbeing specialist.
We are looking for an experienced Office Manager, with years of experience, an abundance of energy, a calm but efficient approach and friendly mannerism. You will make everything work, you are great at finding good suppliers of services and products, negotiating cost-effective deals, and building and retaining excellent rapport with "everyone".
The new company is a result of a another company selling part of their company, meaning there will be an existing workforce of 35-40 persons to accommodate.
Scope of the role
Support locating and the setup of office premises, including liaising with agents, landlords, and service providers
Coordinate office furnishings, utilities, and ongoing maintenance
Oversee the daily upkeep of the office to ensure a safe, functional, and professional working environment
Manage relationships with office suppliers and service providers, including maintenance contractors and utilities
Supervise and coordinate cleaning staff to ensure agreed standards are consistently met
Track office-related costs and contribute to planning and optimisation of costs & efficiency
Coordinate workplace health and safety practices in line with Maltese regulations and company standards
Act as a point of coordination for health and safety matters, escalating issues to HR or management as required
Support audits, inspections, or assessments related to workplace safety
Coordinate employee travel arrangements for employees, including flights, accommodation, and related logistics
Support internal events and workplace initiatives in collaboration with HR
Build and document office-related processes from scratch, suited to a growing organisation
Balance execution with initiative
Education, Skills & Experience
A-levels or equivalent thereof
Proven experience in office management, including facilities/workplace management
Up-to-date knowledge of workplace health and safety legislation and requirements in Malta
Experience of coordinating suppliers and external service providers
Strong organisational skills
Excellent communication skills in English, both written and spoken
Preference given to candidates who communicate fluently in Maltese
About this role
Excellent salary with a basic from €30-38K depending on experience, may be negotiable
Full time
Primarily office-based in Malta (StJulians/Sliema/Gzira-area, TBC)
Travel coordination may occasionally require availability outside of office hours (on call)
