Front Office Administrator
A well-established CSP based in Malta is looking for a proactive and detail-oriented Front Office Administrator to join their growing team. In this role, you will be the first point of contact for clients and visitors, ensuring the smooth running of the office and providing administrative support across various departments.
This is an office-based role offering a salary of up to €25K.
Please note that only candidates already based in Malta can be considered.
Role & Responsibilities
Manage reception operations, including welcoming guests, offering refreshments, and directing visitors to meeting rooms
Provide administrative support to staff, including scheduling and file management
Oversee office upkeep, ensuring kitchen and stationery supplies are maintained, and liaise with suppliers to place and track orders
Maintain accurate records of office-related expenses and supply inventories
Coordinate bookings for conferences, training sessions, and business travel
Arrange restaurant reservations and catering for directors and staff
Maintain the company's internal database and liaise with clients and management as required
Manage meeting room bookings and ensure all rooms, including the boardroom, are well-presented and fully stocked for client and guest use
Provide clerical support to the Marketing and HR departments as needed
Serve as the primary point of contact for incoming and outgoing correspondence with suppliers
Oversee mail processing, including timely dispatch of registered mail, and flag any related issues to relevant staff
Ensure office equipment, including telephones and audiovisual systems, remains fully operational
Schedule regular maintenance for office and health & safety equipment
Education, Skills & Experience
1+ years of experience in a previous administrative or front office role
Fluency in English both written and spoken
Fluency in another European language is a plus
Proficient in MS 365 applications
Multi tasker with the ability to follow deadlines
Excellent communication skills, with the ability to liaise confidently with senior management, clients, and external stakeholders
Professional appearance and demeanour at all times
Strong attention to detail, paired with creative and innovative problem-solving skills

Salary of up to €25K + performance bonus
